Checklist
for closing accounts for all events at Vibha Action Centers - 2003

For events whose accounts were closed prior to June with Meera
Rao at the NJ office, send a spreadsheet of accounts to the new
office manager Meena Jariwala (meena@vibha.org)
to help us tally all numbers.
For all events after June 2003 whose accounts are still open, please
follow the following steps for closing accounts:
1.
Deposit all checks and cash raised from the event into Vibha's Bank
of America account or send the money to the office in San Jose.
If depositing checks/cash in bank, send Meena (meena@vibha.org)details
of the money deposited for her to keep track.

2.
For expenses incurred by volunteers, send all receipts to Meena
for reimbursals along with list and details of who needs to be reimbursed.
Next
two steps only pertain to you if you have collected seed money prior
to the event.
3. Deposit in the Bank or return to office any money remaining from
the Seed Money.
4. Send in all receipts for expenses made from Seed money. (Which
don't need reimbursals)
5. Send in final spreadsheet of accounts to Meena. Spreadsheet should
show all expenses and revenues. For expenses, comment as to whether
the expense is made from Seed money or by volunteers (reimbursals).
For revenues, comment as to whether the money was deposited in the
Vibha Account with BofA or if the money was sent to the office.
6. Send receipts and thank-you letters to Sponsors.
7.
Return all sponsorship banners and other materials that needs to
be returned to sponsors.
